3. ADA and Accessibility Policy

Policy Statement

SMARTmoves, LLC is committed to providing continuing education (CE) programs that are accessible to all individuals. In accordance with the Americans with Disabilities Act (ADA), SMARTmoves ensures that no individual is deprived of the opportunity to participate in a program due to a disability.

Facility Accessibility

For all in-person training, SMARTmoves ensures that the facilities used are in full compliance with the ADA, including physical accessibility to training rooms, restrooms, and common areas.

Accommodations for Sensory Impairments

SMARTmoves will, to the best of its ability, provide necessary accommodations for individuals with sensory impairments. Participants requiring specific accommodations (such as sign language interpreters, assistive listening devices, or alternative format materials) are encouraged to contact the program administrator at least 21 days prior to the event to ensure arrangements can be made.

Respect for Individual Differences

In accordance with APA standards, SMARTmoves selects instructors and develops program content that respects individual differences, including those based on disability.

Requesting Accommodations

Participants may request accommodations or report accessibility concerns by contacting:

  • Program Administrator: Heather Finn — hfinn@smartmovespartners.com
  • Written Procedures: Detailed procedures for addressing participant complaints or grievances regarding accessibility are available upon request and will be handled in a reasonable, ethical, and timely fashion.

4. Diversity, Equity & Inclusion

SMARTmoves, LLC is committed to addressing diversity, equity, and inclusion within its training content. Your course evaluation will ask you to rate how well issues of diversity were addressed. If feedback indicates room for improvement, the educational planning and advisory committee works with instructors to revise presentations, resources, and engagement methods accordingly.

5. Conflict of Interest Disclosure

In accordance with APA CE Sponsor Approval requirements, SMARTmoves, LLC discloses the following conflicts of interest prior to the start of this program:

  • Royalty disclosure: The SMARTmoves, LLC partners and training advisory committee — Anne Westcott, LICSW; Heather Finn, LICSW; Alexandra Cook, Ph.D.; and Elizabeth Warner, M.Ed., Psy.D. — are co-authors of, and receive royalties from sales of, the recommended text for this course: Transforming Trauma in Children and Adolescents: An Embodied Approach to Somatic Regulation, Trauma Processing and Attachment-Building.
  • Model developer disclosure: The presenters of this training are the original developers of the SMART (Sensory Motor Arousal Regulation Treatment) model. As such, they have a professional and financial interest in the adoption and use of this approach. Participants are encouraged to evaluate the content presented with this in mind.
  • Commercial support: SMARTmoves, LLC does not receive any additional forms of commercial support for this programming. If this changes, a statement will be posted on the SMARTlearn registration portal prior to enrollment.

This disclosure is provided in compliance with APA CE Sponsor Approval Standards and Criteria, and a written copy is also available on the SMARTlearn course learning page. Questions may be directed to hfinn@smartmovespartners.com or awestcott@smartmovespartners.com.

6. Grievance Policy

SMARTmoves, LLC is fully committed to conducting all activities in strict conformance with the American Psychological Association's Ethical Principles of Psychologists. SMARTmoves, LLC will comply with all legal and ethical responsibilities to be non-discriminatory in promotional activities, program content, and in the treatment of program participants. Monitoring and assessment of compliance with these standards is the responsibility of the Education/CE Chairperson, in consultation with the Training and Planning Development Committee and the Ethics Chairperson.

While SMARTmoves, LLC takes care to ensure fair treatment for all participants and anticipates potential issues, occasional concerns may arise that require action. The following procedure describes how grievances are handled.

Filing a Grievance

Grievances Concerning an Instructor, Course Content, or Presentation Style

  • You will be asked to submit your comments in writing to Alexandra Cook Ph.D. acook@smartmovespartners.com. The Education/CE Chairperson will then share your comments with the instructor, while maintaining your confidentiality.

Grievances Concerning a Course Offering, Its Content, Level of Presentation, or Facilities

The Ethics Chairperson, Alexandra Cook Ph.D.,  will mediate and serve as the final decision-maker.
If you request action, the Ethics Chairperson may:

    • Facilitate a transfer to another course offering; or
    • Provide a credit toward a future course; or
    • Provide a partial or full refund of the course fee.

  • Any resolution under the second or third option above will be documented in writing for record-keeping purposes. This written record does not need to be signed by the person who filed the grievance.

7. Use of Artificial Intelligence (AI) in Course Development

SMARTmoves, LLC is committed to transparency regarding the use of artificial intelligence tools in the creation, development, and delivery of our educational materials. The following disclosure describes what AI was used for, when it contributed, and to what extent — in accordance with best practices for professional training programs.

  • Role: AI tools assisted in drafting and refining instructional language, structuring competency frameworks, generating writing alternatives, and formatting course documents. AI did not generate original clinical content, research findings, or therapeutic frameworks — those reflect the original work and expertise of SMARTmoves faculty.

  • Timing: AI was used during the content development and revision phases of this course. All AI-assisted content was reviewed, edited, and approved by licensed clinicians and subject-matter experts on the SMARTmoves team prior to publication or distribution to learners.

  • Extent: AI contribution was supplementary and editorial in nature. Core therapeutic frameworks, clinical examples, competency criteria, and supervisory guidance reflect the intellectual work of SMARTmoves faculty. Learners should attribute course content to SMARTmoves, LLC, not to any AI system.

8. Refund and Cancellation Policy

  • 30+ days before the course start date: 100% refund, minus handling fee.
  • 7–29 days before the course start date: 50% refund, minus handling fee.
  • Less than 7 days before the course start date: No refund. You may instead transfer your enrollment to a future course offering.
  • SMARTmoves, LLC reserves the right to cancel or postpone courses.

9. Course Evaluation & Satisfaction Survey

  • You'll be notified where to find the participant satisfaction survey and course evaluation form on your course's SMARTlearn page.

  • We encourage honest feedback — it's used to evaluate, revise, and improve our programming.
